Personnel Tracking for Confined Spaces

The XPressEntry CS Entry Management System is the ideal solution for tracking multiple workers entering and exiting large or complex confined space areas, such as refinery vessels, construction sites, or access tunnels.

How it works:
As workers enter or exit the confined space at an entry point, the safety attendant uses a handheld reader to scan the worker's badge. The handheld reader wirelessly transmits the badge information to an on-site server, where it can be monitored.

XPressEntry CS is:
FAST - A safety attendant scanning a worker badge on entry or exit is faster than one writing down a worker's name or badge number and time. Shifts of workers spends less time waiting to enter or exit and more time on the job.
ACCURATE - With badge information scanned by a handheld and checked against an approved worker list, there's no issues with poorly written records, and safety attendants will know who is authorized to enter the confined space. Plus, XPressEntry registers the activity instantly, eliminating the time-consuming and error-prone task of manually reconciling activity logs from multiple access points.
CLEAR - Even with several confined spaces each with multiple access points, safety managers can view activity on the on-site server or via the web to know:
   Who has entered,
         ...where they entered,
...and how long they've been inside.
USEFUL ON THE WORK SITE - In addition to monitoring current occupants, the safety supervisor can quickly add new workers to the system, view and sort through the activity history, and receive messages from the safety attendants.
USEFUL ONLINE - In addition to monitoring current occupants and reviewing activity history, website users can add and edit worker and confined space work area information, and create reports showing occupancy snapshots or summaries of activity. The activity reports are not only useful for monitoring safety, but also can assist in tracking time spent in the confined spaces for timekeeping or occupational health purposes.

Using XPressEntry to Save Time

Here's how XPressEntry can save time and increase productivity:

Faster Entries & Exits - Scanning a badge with the handheld reader only takes a fraction of the time of manually writing down entrant information on a paper log, meaning that workers get in and out faster, which leads to less waiting when multiple employees are trying to enter at one time (at the start of a work shift). Less time waiting to get in means more time on the job. More time on the job during a shift means that fewer shifts are needed to get the job done.

With the time saved from logging entrants, safety attendants can focus more time on other safety monitoring tasks (such as gas sensor monitoring) or keeping in contact with entrants, rather than writing down log entries and exits.

Automatic Occupancy & Activity Calculation - With paper logs, determining current occupancy from paper logs is a time-consuming chore, especially when confined spaces have multiple entry points. When these calculations are done on-site, it means that safety attendants are focusing on this task, instead of actually tracking people going in and out. Determining an individual's actual activity history, including total time spent inside different confined spaces, is an additional paperwork chore that often times is low priority — until accurate records are actually needed.

XPressEntry saves all that time by determining the list of occupants automatically, and registering the activity history as entries and exits happen — saving time for safety monitors and attendants.

XPressEntry saves time and increases productivity for:
Entrants - less time waiting to enter and exit & more time on the job
Safety Attendants - less time recording entries and exits
Safety Monitors - no time spent to get occupancy counts or entrant activity records

Using XPressEntry to Enhance Safety

Real-time Occupancy - At any time, know who is within the confined space, and how long they've been inside - from the handheld, the on-site server or the website.

Prevent Unauthorized Access - Safety attendants are alerted when an unrecognized badge is scanned, allowing them to scrutinize potential new entrants. If they should be authorized, they can be easily added at the on-site server and the updated list is automatically uploaded to the handhelds.

Muster Point - On-site server can act as a check-in station at a muster or evacuation point during an incident, instantly tracking who has been evacuated and who is unaccounted for.

Redundant Data Backup - Entry activity is stored on multiple levels: on evary handheld and on the on-site server and optionally online, meaning that there is less chance of losing critical safety data when that data is needed quickly.

Battery Backup System - Server and wireless network are on independent battery backup systems to provide 2 hours of power in case of power failure or shutdown.

Real-time Safety Attendant Check - Know who is monitoring each entryway, and who is on break or in transit. An option for requiring periodic check-ins keeps safety attendants alert at their posts.

Messaging from Handhelds to Server - Safety attendants can send preset text messages with the handheld reader to the on-site server. Useful in locations where phones or radios are impractical due to noise.

XPressEntry enhances safety by having confined space occupancy information constantly being updated and at everyone's fingertips and keeping safety monitors focusing on safety, rather than shuffling through paper logs.

Using XPressEntry to Improve Recordkeeping

Here's how XPressEntry can increase the accuracy of records and assist project managers:

Automatic Occupancy Determination - Every time a safety attendant registers a worker upon entry or exit, XPressEntry updates the list of confined space occupants. Safety monitors know exactly who is inside the confined space instantly. With paper logs, a safety monitor would have to contact all the safety attendants to review and reconcile their logs - with potential errors resulting from poor handwriting or miscommunication. XPressEntry eliminates that chance for error and improves the accuracy of records.

Automatic Activity Calculation - In addition to updating the list of occupants, when a new entry or exit is recorded, the activity log is updated - matching entry actions to exit actions. Safety monitors know exactly how long a worker has been in the confined space, and the web reporting tool helps to organize the activity history by entrant or company and view total time spent in confined spaces over a shift, day, week, or month. With paper logs, calculating activity history is time-consuming and prone to data entry or mathematical errors. XPressEntry eliminates those chances for error by automatically developing the history as it happens.

Powerful Management Features
  • From the server or the web, easily filter through live activity and occupancy to get the information you need to know quickly.
  • Searchable activity history allows you to track by individual, company, date, entryway, and confined space.
  • Activity Reports generated from the web can track trends in activity, useful for timekeeping and occupational health and safety monitoring.
  • Snapshot Reports allow you to know, for any given time, who was inside a confined space.

XPressEntry improves record accuracy and saves time for safety and project managers.

Permit Required Confined Spaces

XPressEntry is ideal for confined spaces that:

  • Require safety attendants and a way to track occupants
  • Where many occupants can simultaneously occupy the space
  • Have multiple entry or exit points, or complex layouts
  • Are infeasible for a permanent installation of entry monitoring equipment
  • Where these is a requirement to reduce paperwork and improve safety
About Confined Spaces
Confined spaces are workplaces found in many different industries: construction, oil and chemical processing, manufacturing, shipbuilding, agriculture and mining. In addition, many confined spaces can be found in and around ordinary locations: underground access areas for utilities, pipelines, manholes, and storage tanks.

To be considered “confined”, workplace spaces must meet certain requirements:
The space configuration hinders the activities of employees who must enter, work in, and exit them. A confined space has limited or restricted means for entry or exit, and it is not designed for continuous employee occupancy.
Permit-Required Confined Space
In the United States, OSHA uses the term “permit-required confined space” (permit space) to describe a confined space that has one or more of the following characteristics:
  • Contains or has the potential to contain a hazardous atmosphere (Due to inadequate levels of oxygen, or the presence of toxic, combustible or asphyxiating gases);
  • Contains a material that has the potential to engulf an entrant (Liquids or loose solid material such as grain or gravel);
  • Has walls that converge inward or floors that slope downward and taper into a smaller area which could trap or asphyxiate an entrant (Narrow points, pits or shafts);
  • Or contains any other recognized safety or health hazard, such as unguarded machinery, exposed live wires, or heat stress.
Visit the OSHA Confined Spaces site to review the standards and learn more
Safety Attendants and Recordkeeping
Permit-Required Confined Spaces require the role of an attendant outside the confined space to continuously keep track of all the entrants in the confined space they are monitoring, as well as maintain communications with the entrants and entry supervisor.

A common approach to continuously tracking all entrants to the confined space is to keep paper logs of who has entered, what time they entered, and what time they exited. However, paper logs have their limitations - most notably when a confined space has more than one entry point. Either safety attendants have to spend time cross-checking activity on their logs with the other entry point's logs, or occupants are required to exit through the same entry point they entered, which is not always convenient.

XPressEntry overcomes the drawbacks of paper logs:
Issues with Paper Logs How XPressEntry solves the problem:
Writing a log entry takes 20-30 seconds - Entrants end up lining up, spending time waiting Logging an entrant with the XPressEntry handheld takes 5 seconds or less - Less time waiting, more time on the job
A lost, damaged or illegible log means information is lost Data stored in 3 places: on the handheld, on the server, on the web - and messy handwriting is eliminated
Not easy to determine occupancy, especially in confined spaces with multiple entry points With every entry and exit, the XPressEntry server automatically updates occupancy, and can relay it to handheld and web
Building an activity history for an individual or company is tedious, time-consuming, and error-prone Activity history is easily searched and sorted on the server or online, and online reports keep the history organized
Because logging is time-consuming, activity might get unrecorded during time-critical operations like evacuations or rescues XPressEntry is quick enough when every second counts. Also, the onsite server can be configured as a muster point for incident check-ins
No way to track who is authorized to enter the confined space XPressEntry maintains a list of authorized entrants, and will alert the attendant when a potential entrant is unauthorized
